Common Mistakes and Tips
Waiting too long to document
The best time to log a scope change is right after it happens. If you wait until the project ends, you'll forget details and the conversation gets harder.
Saying yes to everything
Every "sure, no problem" without documentation sets a precedent. You don't have to say no, but you do need to say "let me check the scope and get back to you."
Not tracking small requests
One extra revision is fine. Five extra revisions is a pattern. Log the small stuff so you can show the cumulative effect when needed.
Vague original scope
"Design a website" is not a scope. "Design a 5-page website with 2 rounds of revisions, delivered as Figma files by March 15" is a scope. Be specific from the start.
Not renegotiating
Scope creep isn't just about tracking. It's about having the conversation. Use this report to propose a change order, adjusted timeline, or additional fee.
Keeping it to yourself
Share the scope log with your client regularly. Transparency builds trust and prevents surprises. Most clients don't realize how much they've added until they see it listed out.
Real Scope Creep Scenarios
The "While You're At It" Project
You're hired to design a logo. The client asks for a business card "while you're at it." Then a letterhead. Then social media banners. Each request seems small, but together they double the project. Log each one and show the client the total.
The Endless Revision Loop
Your contract includes 2 rounds of revisions. The client comes back with feedback 7 times, each time saying "just one more small change." Track every round past the included limit and the time each one takes.
The Feature Creep Website
You quoted a 5-page website. The client now wants a blog, a newsletter signup, a client portal, and an online store. Each feature was added as a "wouldn't it be nice" during check-in calls. Document when each was requested and the estimated impact.
The Urgent Rush Job
The client needs something "by tomorrow" that wasn't in the original timeline. Rush work has a cost. Log the original deadline, the new deadline, and the extra hours needed to make it happen.
